1. Overview
Rentchecksheet is independently operated from Canada and provides services relating to residential tenancy check-in records, property inventory sheets, rent payment records and property maintenance logs.
This policy explains how service requests are assessed, confirmed, completed and delivered to customers in the European markets we serve.
2. Service Delivery Process
Our standard service process consists of the following stages:
Step 1: Initial Enquiry
Customers contact us with a description of their requirements, the intended use of the documents and any preferred format.
Step 2: Assessment and Quotation
We review the information provided, clarify the requested scope where necessary and issue a quotation setting out the proposed deliverables, total service price and applicable payment arrangements.
Step 3: Order Confirmation and Deposit
The customer reviews and accepts the quotation and applicable service terms, then pays the required deposit. Work begins once the agreed starting conditions have been met.
Step 4: Preparation of Documents
We prepare the agreed property record documents based on the information and instructions supplied by the customer. If essential details are missing, we may request clarification before proceeding.
Step 5: Completion and Delivery
Once the agreed work has been completed, the documents are delivered using the method confirmed for the order. Any outstanding balance is payable according to the agreed payment schedule.
3. Deposit and Service Pricing
Prices displayed on our website represent a deposit towards the requested service and are not the full service price unless expressly stated otherwise.
Before an order is confirmed, customers will be informed of the total agreed price, the deposit amount, any outstanding balance and the applicable payment arrangements.
The deposit will be credited towards the total agreed service price. Additional work outside the original scope may incur extra charges, which will be communicated for approval before that work begins.
4. Processing Time
The expected completion timeframe will be communicated during the quotation or order confirmation process, taking into account the scope and requirements of the request.
Processing time generally begins after the order has been confirmed, the required deposit has been received and all essential information has been supplied.
The timeframe may be affected by incomplete information, delayed customer responses, approved changes to the scope or circumstances affecting the agreed delivery arrangements. Where a material delay arises, we will communicate the relevant update.
5. Delivery Method
Completed documents will be supplied using the delivery method agreed for the order. Where electronic delivery is agreed, documents will normally be sent to the email address provided by the customer.
Customers are responsible for providing accurate contact details and ensuring that they can receive the agreed delivery. Please check your inbox and filtered folders if an expected delivery message does not appear.
If a delivery email cannot be received or the supplied contact details are incorrect, customers should contact us promptly so that the delivery arrangements can be reviewed.
6. Customer Responsibilities
To support timely completion, customers must:
- Provide accurate and relevant property information.
- Supply the necessary instructions and document requirements.
- Respond to reasonable requests for clarification.
- Review the quotation and confirm the agreed scope before work begins.
- Notify us promptly of changes to their contact details or requirements.
Delays caused by missing information or late responses may affect the completion timeframe. Any material change to the scope, price or delivery arrangements will be discussed with the customer.
7. Changes and Additional Requests
Requests for changes after confirmation will be assessed against the original agreed scope.
Where a requested change requires additional work, we will explain any effect on the price and completion timeframe. Additional charges will require the customer’s agreement before the additional work proceeds.
Corrections needed because the delivered service does not conform to the agreed scope will be addressed in accordance with the order terms and applicable law.
8. Delivery Issues
If a customer has not received the agreed documents within the communicated timeframe, they should contact us at house@rentchecksheet.com and include their order reference.
We will review the order status, check the delivery details and discuss appropriate next steps. Depending on the circumstances, this may include resending the documents or agreeing a revised delivery arrangement.
9. Completion and Outstanding Payments
Delivery and payment obligations will follow the terms confirmed for the relevant order. Where an outstanding balance is due upon completion or delivery, the customer must pay it according to the agreed payment schedule.
If the customer identifies an issue with the delivered documents, they should notify us with a clear description of the issue so that it can be assessed against the agreed scope.
Nothing in this section limits any mandatory rights available to consumers under applicable law.
10. Cancellations and Refunds
Cancellation requests and refund eligibility will be assessed under the agreed order terms and applicable consumer protection legislation in Canada, the European Union or the United Kingdom, as relevant.
The treatment of a deposit may depend on the stage of work, the service already provided and the legal rights applicable to the transaction. Any statutory withdrawal, cancellation or refund rights remain unaffected.
Customers wishing to cancel an order should email house@rentchecksheet.com, providing their order reference and cancellation request.
